Officers Appointments

Purpose

To allocate statutory and executive responsibilities among serving Committee members following the Annual General Meeting.

This procedure ensures clarity of responsibility for regulatory filings, banking authority, and formal representation of the Club, while maintaining collective governance by the Committee.


Authority

  • Rule 17 – Committee management powers
  • Rule 18 – Officers of the Club

Scope

Applies to:

  • Newly confirmed Committee members
  • Existing Officers
  • Secretary
  • Treasurer

Procedure

  1. The first Committee meeting following the Annual General Meeting shall be convened.
  2. The Committee shall appoint, from among its serving members:
    • President
    • Treasurer
    • Secretary
    • Vice-President (if applicable)
  3. The appointment shall be agreed by majority decision.
  4. The appointment shall be recorded in the Committee minutes.
  5. Banking mandates shall be reviewed and updated where required.
  6. Regulatory filings and external contacts shall be updated where necessary.
  7. The appointment notice shall be retained in the Governance records.

Resolution Record (For Minutes)

Resolved that, with effect from [Insert Date], the following members are appointed as Officers of the Society:

  • President – [Name]
  • Treasurer – [Name]
  • Secretary – [Name]
  • Vice-President – [Name]

The above Officers shall discharge statutory, regulatory, financial, and administrative responsibilities on behalf of the Committee.

This appointment remains in effect until varied by resolution or until the conclusion of the next Annual General Meeting.

  • President – overall leadership and representation.
  • Treasurer – financial oversight and banking compliance.
  • Secretary – governance records, statutory filings, and minutes.
  • Committee – collective oversight of all Officer actions.

Records to be Kept

  • Committee minutes recording appointment
  • Updated bank mandate forms (if required)
  • Updated regulatory contact records (if required)

Review

This procedure may be reviewed by the Committee and amended by resolution where operational practice requires.
