Section Subscriptions

Participation in a Member Section may require an additional annual membership Section Subscription.

**A Section Subscription:

  • Contributes to the cost of providing the activity
  • Forms part of Club membership subscription income
  • Is not a ticket sale
  • Is not a hire charge
  • Is not a commercial trading transaction

Section Subscriptions help ensure activities are self-funding while maintaining the Club’s unified membership structure.

Types of Section Subscription

The Committee may approve one or both of the following approaches.

1. Annual Section Membership

Members may subscribe for a full year, for example:

Wine Section – Annual Membership

**This:

  • Grants participation in Section activities for the year
  • May include all meetings or a defined number
  • Is paid in advance
  • Is treated as additional Club membership subscription income

**This model provides clarity and predictable budgeting.

2. Participation Subscription (Per Meeting)

Members may instead subscribe per meeting, for example:

Wine Section – Participation Subscription – March Meeting

**This is structured as:

  • A short-term additional membership subscription contribution
  • Specific to that meeting period
  • Available only to Club members

**It is not a ticket or event charge.

It is:

A temporary extension of membership privileges within that Section. This approach provides flexibility where attendance varies.

Attendance and Participation

Member Sections are part of the Club and operate within its normal membership framework. In many cases, all Club members may attend Section meetings as part of their general membership rights, even if they do not participate in the activity itself.

For example, members may attend a Wine Section meeting on a non-participation basis, enjoying the presentation and social environment without taking part in the tasting.

However, some Sections may:

  • Require prior registration
  • Limit numbers due to space, safety or licencing considerations
  • Operate on a subscription-only basis where ongoing commitment is necessary

Where attendance is limited to subscribing members, or or where a Participation or Annual Section Subscription as a condition of attendance, this will be clearly stated in advance. e.g. Members who wish to participate in wine tastings or other structured activities may purchase a Participation Subscription for that meeting or period.

Where appropriate, participation tokens may be issued to confirm subscription and to manage activities. These tokens are purely a control mechanism and do not represent ticket sales or gambling activity.

This approach ensures:

  • An open and inclusive Club atmosphere
  • Fair contribution from participating members
  • Clear financial and licensing compliance

Payment and Expenses

Section Subscriptions are:

  • Collected through the Club’s membership system
  • Paid into the Club membership account
  • Recorded as Section membership income

Section expenses are paid by the Club directly or reimbursed upon submission of a valid expense claim with receipt. Sections do not operate separate bank accounts and do not collect cash at meetings.

Supplier Sales to Members

Where external suppliers offer goods directly to members (for example, wine orders placed individually):

  • The transaction is between the supplier and the member
  • The Club does not act as reseller
  • Any voluntary donation or commission received by the Club is treated as donation income

Governance

Member Sections operate under delegated authority from the Committee.

**The Committee:

  • Approves Section formation
  • Approves subscription levels
  • Oversees financial reporting
  • Retains overall responsibility

All Section activity remains subject to Club Rules and the Club’s Premises Licence.
